How shift swaps work in Opyris.

Employee submits a swap request

Through the Opyris app or web browser. The employee identifies the shift they want to swap and, if applicable, the person they want to swap with.

Manager sees it in the task queue

The request appears in the manager's queue with both employees, the shift details, and a coverage check. No digging through messages.

Manager approves or denies

One decision. The schedule is updated automatically on approval. Both employees are notified of the outcome.

Open shifts

Open shifts are sent to eligible staff automatically.

When the automatic scheduler creates open shifts (unfilled roles), or when a shift becomes open due to a last-minute change, Opyris automatically notifies eligible employees. Employees can claim the shift; managers approve.

Employee self-service claims

Employees see available open shifts and can claim them through the app. Claims are reviewed by the manager before being assigned.

Do both employees in a swap need to confirm before the manager sees it?

The workflow is configurable. Managers can require both parties to agree before the request reaches them, or they can review swap requests directly after one employee submits.

What happens to the schedule when a swap is approved?

The schedule updates automatically. Both employees are notified of the approved change. No manual schedule edit required.

Can managers post open shifts directly?

Yes. In addition to open shifts created by the automatic scheduler, managers can create open shifts manually and notify eligible employees.

Who is eligible to claim an open shift?

Eligibility is based on role, availability, and any manager-defined constraints. Opyris notifies employees who are eligible for the shift based on these criteria.
